General

What is Nelxa?

A travel CRM and operations system for agencies that sell tailor-made (FIT) trips, group departures or both: clients, trip pipeline, itineraries, proposals, e-signed contracts, instalments, group operations, a client portal and automations, in one workspace.

Who is it for?

Travel agencies and tour operators from one person to a full office. Roles (owner, admin, agent, assistant, read-only) let a small team and a larger one use the same workspace.

Who is behind Nelxa?

Nelxa is built and operated by TodsAI LLC. You can reach the team at hello@nelxa.com.

Is Nelxa still in beta?

Yes. The product is in beta and free to use during it. Public pricing will be announced before paid plans start, and account owners are informed in advance; founding customers who join during the beta keep 30% off for the first 12 months of paid service.

Pricing and plans

What does Nelxa cost?

Nothing during the beta. Two plans launch with public pricing: Standard, with the full trip workflow for up to three users and the essential client emails (booking and payment confirmations, payment reminders, pre-trip updates) ready to switch on, and Premium, with the full automation engine and rule builder, white-label domain, card payments through your own Stripe account, AI features and unlimited users.

What is the founding customer offer?

Agencies that join during the beta keep 30% off for the first 12 months of paid service. Email us to reserve it.

Will I be charged automatically when pricing launches?

No. Paid plans start when public pricing launches, account owners are informed in advance, and nothing is charged without your agreement.

Can I change plans later?

Yes. Premium features are gated per workspace, so moving between Standard and Premium does not change your data.

Languages

Which languages does the product speak?

The office interface, emails, PDFs and public pages exist in English and Greek. Each client has a communication language and Nelxa follows it for everything sent to that client.

Why is this website in five languages when the product is in two?

So agencies in more countries can evaluate Nelxa. The website is available in English, Greek, Spanish, German and French; the product itself speaks English and Greek today. The dictionary is built so a further product language can be added without touching the existing two.

What about itinerary text in other languages?

Programme content (segment titles and descriptions) can be written in twelve languages with language tabs; the traveller sees the version that matches them. The system copy around it is English or Greek.

Do I have to translate my own content by hand?

No. Nelxa's default content (email templates, the automation starter pack, contracts and documents) comes complete in English and Greek. For text your agency writes, the office has “Translate from …” buttons and a “Translate everything missing” action on each trip, which fill in the missing language through Nelxa's translation service. You can review and edit the result, nothing already written is overwritten, and legal texts such as contracts and terms are created as drafts that a person must confirm before they are used. Available on every plan.

Trips, clients and the team

Can several people work on the same trip?

Yes. Everyone in the workspace sees the same trip file according to their role; tasks are assigned to named people and comments stay on the task.

Does Nelxa handle both FIT and group files?

Yes. A trip is marked FIT or group; group trips gain registrations, manifests, rooming and the other group tools while sharing the same pipeline.

How do invitations work?

An invitation is sent to an email address with a role. It can only be accepted by an account whose verified email matches that address.

What happens to deleted records?

They move to the trash, where they can be restored, and are permanently purged 30 days after deletion. Trips that hold financial records are kept for accounting instead of being purged.

What is the difference between a FIT trip and a group trip?

A FIT (tailor-made) trip is one booking: several travellers can be on it, and each can have their own instalments and payments. A group departure holds many separate bookings, with registrations, a manifest and rooming. If two parties need separate bookings and billing, use a group trip or a separate trip for each party.

Proposals, contracts and signatures

Can the client accept the proposal online?

Yes. The proposal link shows the packages, and approval is recorded on the trip. For group departures the same link takes registrations.

Is an e-signature legally binding?

Nelxa records who signed, when, from which link and address, and against which document version and money snapshot. Whether that meets a given legal standard depends on your jurisdiction and terms; ask your legal adviser.

What if the price changes after signing?

The signed document keeps its frozen amounts. A changed trip needs a new signature on the new version, and both versions remain available.

Can I use my own contract PDF?

Yes. Upload a PDF you already use and have it signed the same way, alongside the generated documents.

Payments

Do I need Stripe?

No. Bank transfer and cash bookkeeping work on every plan. Card payments are a Premium feature and use your agency's own Stripe account; Nelxa never holds your clients' money.

Can several travellers pay for one booking?

Yes. Each traveller has their own schedule and payments, and the booking shows the combined position.

Are proformas and receipts numbered?

Yes, sequentially per agency, and the numbers appear on the PDF and in the payment records.

Can I get the figures out for my accountant?

Premium workspaces can export financial records as CSV. The group manifest can be exported as CSV on every plan. A full workspace export is not a self-service feature today; email us if you need one.

Group travel

Can a family register together?

Yes. One registration can hold several passengers, and each passenger appears on the manifest with their own details.

Does group pricing change when the group grows?

Prices can be set per passenger tier and finalised when the group size is confirmed; the confirmed price is the one contracts freeze.

Can I run two itineraries in one departure?

Yes, with tracks: each participant belongs to a track and sees their own programme.

Client portal

Do travellers need an account?

No. Access is by personal link or a one-time code sent to the email on file.

Can travellers see other travellers' data?

No. A portal session is scoped to the traveller and their trip; a group passenger sees their own registration, not the manifest.

Can the portal run on my own domain?

Premium workspaces can serve the portal and public pages on their own domain; the domain is verified and bound to one agency.

Security and data

Where is my data stored?

In the European Union: the PostgreSQL database in Frankfurt, Germany, and the application on Google Cloud in the EU. See the security page and the privacy policy for the full list of providers.

Can another agency ever see my clients?

No. Agency scoping is enforced by row-level security in the database and by checks in every API route, and automated lints guard the code.

Who owns the data?

You do. For your travellers' personal data your agency is the controller and TodsAI LLC processes it on your behalf under the data processing agreement.

Do you offer single sign-on?

Not yet. Staff sign in with email and password or with Google. Ask us if SSO matters for your agency.

Automations and AI

Will automations email my clients without my knowledge?

Only rules you enabled run, and each run is logged. The starter pack installs its rules switched off. Readiness checks stop a message from going out in a language the template does not exist in.

Do I need an AI subscription?

Only if you want the AI features. You bring your own OpenAI, Anthropic or Google key, stored encrypted; Nelxa does not resell AI usage.

What does the AI actually do?

It parses emails and PDFs into structured tasks, drafts content, translates, and scores quality and sentiment. A person reviews before anything reaches a client.

Getting started

How long does setup take?

Creating the workspace takes minutes. Branding, contract templates and the starter pack are an afternoon; the first real trip usually follows the same week. The getting-started page lists the six steps.

Do I have to migrate everything on day one?

No. Start with the trips you open from now on and enter existing clients as they come up. Existing documents can be uploaded to the client or trip they belong to.

Can I see it before signing up?

Yes. Request a demo from the contact page and we will walk you through the parts that matter for the trips you run.
